Uses of Emergency Broadcast Messaging

Emergency broadcast messaging is used to ensure timely and accurate communication during emergencies.

Some types of emergencies include:

  1. Natural disasters

  2. Pandemics or disease outbreaks

  3. Mass casualty incidents

  4. System failures

What numbers do we send the messages from?

  • For NHG Production: 75126

  • For NUHS Production: 70140

Step 1: Create Broadcast Groups

What are they? Broadcast Groups allow you to create predefined groups of users or contacts, so you can quickly send notifications or updates to specific teams or departments.

How to create a Broadcast Group:

  1. Go to the Broadcast Groups section.

  2. Click Create New Group.

  3. Name your group and select members from the directory.

  4. Save the group for future use.

Step 2 : Creating a message template

  1. Navigate to Message Templates.

  2. Click New Template.

  3. Write the message body, include placeholders (e.g., recipient names).

    1. E.g 1 When ward location are not fixed - Fire at Wd XX - evac in progress. For exercise info only - Press 1 to acknowledge

    2. E.g 2 When the type of code is not fixed - Code XXX activated for Ward A Bed B @ time is incorrect. Kindly do not respond to the activation. Please respond back to this message as a form of acknowledgement.

  4. Save your template for quick access during broadcasts.

Step 3: Triggering a broadcast

  1. Go to the Broadcast section.

  2. Create your message to send out or choose from a message template.

    • For e.g A broadcast for an emergency drill, Stroke activation.

If you don't need a response for your broadcast, select the checkbox 'Response not required'

  1. Select your broadcast recipients:

Triggering a broadcast using Groups

Either manually add recipients under 'Recipient List' or add them from one of the broadcast groups created previously.

  1. Click the + button to add a broadcast group.

  2. Verify the recipients which are auto populated in the Recipients list and click on 'Send Message' to trigger your broadcast.

Triggering a broadcast using Rosters

You can trigger a broadcast to On-Call or Team Rosters. You can choose to select assignments in the entire roster or specific rows/columns.

  1. Click the + button to add an entire roster

  2. If you want to trigger to specific columns / rows within a roster, use the dropdown to filter by:

    • Roles (selects columns in the roster)

    • Team (selects rows in the roster)

  3. Verify the recipients which are auto populated in the Recipients list and click on 'Send Message' to trigger your broadcast.

Viewing broadcast messaging report

  1. To view the details of a broadcast, click on the specific broadcast listed under 'Broadcast Messages.'

  1. You can view a report of all the responses from your broadcast. Users have up to one hour to reply to the broadcast message.

Replying to a broadcast message

  1. Recipients will receive a broadcast message as shown below and will reply accordingly to the message.

  1. Users will receive an acknowledgement message once they have replied to the broadcast message.
