👩‍⚕️Assigning to On-call and Team Rosters

Add assignments to your roster directly in Rooster, or using an Excel file.

Unable to find a staff member?

You can add their contact on the directory page before assigning them to a roster.

Adding assignments to your rosters

Step 1: Go to your respective Roster

On the roster page, click 'Edit Assignment'.

Step 2: Select a way to assign

Choose one of the methods to add your assignments on your roster.

Add individual assignments
  1. Hover over the cell to which you would like to add your assignee(s), and click 'Add Assignment'.

  1. Select role, team (for Team Rosters only), staff, and single/multiple date selector on the pop-up.

  • Dropdown options under 'Role' should be the same as column headers.

  • You can search for staff by their display name, MCR number, designation, or by scrolling through the dropdown menu. You can also select more than 1 staff.

  • You can toggle between 'Exact Date' and 'Date Range'.

  1. Click 'Add'.

  1. Once you have added all assignments, click 'Save Assignments'.

Setting the order of assignees within a cell

Add and save assignees one at a time and in the order you want.

Assignees will appear in order from the top to the bottom of the cell.

  1. Click 'Bulk Assign'.

  1. Select one or more options under the 'Role' option. These are the columns to which the assignee will be added.

  2. Select one or more staff to add to the selected roles.

  3. Click 'Save'.

Step 1: Go to the roster

Click 'More'.

Step 2: Download template

  1. Select 'Download/Upload template for (Month + Date)' from the dropdown menu.

  1. On the pop-up, click 'Download template'.

  1. Once the file is generated, a message should appear, 'File ready. Click here to download'. Click 'here' to download the roster template.

Step 3: Adding your assignments

Choose one of the methods to add your assignments:

  • Using Microsoft 365 Online

  • Using the Excel app

Method 1: Using Microsoft 365 Online

For the latest features, we recommend using the Microsoft 365 Online version.

  1. Save the template onto One Drive.

  1. Open a new tab and open the template on Microsoft 365 Online via https://www.microsoft365.com/mycontent.

  1. To add an assignment, type the assignee's name into the excel row and click 'Enter' to select

  • Note: If you're rostering multiple users on the same day, duplicate the row for that date and enter each user's assignment in a new row.

  1. Once the assignments are completed, save a copy of the populated Excel by navigating to File > Download a Copy.

Method 2: Using the Excel app

  1. Save the template to your device and open it.

  • Template should match the template you created on Rooster.

  1. Modify the excel according to your requirements and add the assignees.

  • If you're rostering multiple users on the same day, duplicate the row for that date and enter each user's assignment in a new row.

  1. Save the populated Excel file on your computer.

Step 4: Upload Excel file

  1. Return to the 'Download/Upload Excel template' popup on Rooster.

  • If you closed the original popup, click 'More' and select 'Download/Upload template for (Month + Date)' from the dropdown.

  1. Click 'Choose file' under Step 2.

  1. Select the populated Excel file and click 'Upload'.

  2. The system will process the file and update the roster accordingly.

How can I add multiple assignments to the same cell in a specific order?

In order to add multiple assignments to the same cell and maintain their order, you will have to add the assignees consecutively.
