Transferring Contacts Within a Cluster
A guide on how to manually transfer or schedule a transfer of contacts between institution within a cluster
Manual transfer of contacts
Navigate to the Directory page on the Rooster platform
Under 'More' click on 'Transfer to Institution'
In the 'Transfer to Institution' popup, fill in the relevant fields accordingly.
Once the manual transfer has been complete, the current main posting will be cleared up
Schedule auto transfers of contacts
You can schedule contact transfers between your institution and another (within the same cluster) ahead of time.
What is needed for auto transfers:
End date of current posting
Start date of next postin
Scheduling for rotation within your institution in advance
Main posting
To prepare in advance for upcoming rotations within your institution, you can schedule the event by setting a starting date for the next main posting.
Navigate to the Directory page on the Rooster platform
Search for the contact you want to auto transfer
Under the row of the contact, click "···"
Click 'Edit Contact'
On the Edit Contact popup, navigate to Next Postings
Click '+ Add Next Posting'
Fill in the Start Date
(Optional) Fill in the End Date
Click 'Save'
On the start date of the next main posting, the next main posting details will automatically override the current main posting details
Take note of the MCR number as the upcoming posting will override the one in current posting if it's different
Additional Posting
If you add 'Next Additional Posting' for a contact, on its start date, it will be shifted to 'Current Additional Postings'.

If a current additional posting already exists, the next additional posting will be appended beneath it.

To schedule a next additional posting, ensure that a start date is provided.
Upon reaching the end date for an additional posting, the additional posting will be deleted from Current Additional Postings.
For example, if the end date is set for 1st October, the row will be removed on 2nd October.
Scheduling a transfer of contacts between institution within your cluster
To ensure a successful transfer between institutions in your cluster:
You (current institution) will need to set an end date for current main posting AND
The next institution will need to set a start date for next main posting.
Scenario:
MO Dr Tan will end his posting at NUH on 10th Sep, and is going to NTFGH on 1st Oct 2024.
As of 9th Sep 2024, MO Dr Tan belongs to NUH. Hence his current posting will appear as such:

and the details of his next posting will be as such :

The MCR Number field will be auto-filled for you
On the end date of the current main posting (10th Sep):
The contact will be transferred to the next hospital (NTFGH), who will be the new owner of this contact.
The details in the Current Main Posting will be cleared out.
On the start date of the next main posting (1st October):
The next main posting details will override the current main posting details
The contact will not be auto disabled on the end date of the current main posting if there is already a next main posting (regardless of the date of next main posting). However, if there is no next main posting available on the end date of the current main posting, the contact will be disabled.
Edit rights
Non-home institutions can add ‘Upcoming Posting’ details and ‘Additional Posting’ details.
The home institution will still be allowed to modify the contact or delete the ‘Upcoming Posting’ if needed.
For example, if a contact primarily belongs to NTFGH, the admin staff from NTFGH will be able to modify any of the contact details. However, only an admin from AH will be able to modify the 'Next posting'.
