How can I start adding assignments to my roster?

Method 1: Adding assignments using the 'Edit' button

  1. Select the 'Edit Roster' button

  1. Select the 'Assign New' button

  1. There will be a popup appearing on your screen, select the role, staff, and single/multiple date selector. Remember to click 'Save' after inputting all the required information.

  • The dropdown under roles should be the same as the column headers. For e.g the column header here is 'Dr and registrar', the dropdown would show a similar option.

  • You can search for staff by scrolling through the dropdown menu or searching by display name, MCR number, or designation.

  • You can toggle between an exact date or a date range.

  1. Once you have added all the assignments, click 'Save Assignment' to save all the changes you have made.

Method 2: Adding assignments directly from the roster

  1. Click on 'Edit Assignments' in the roster

  2. Hover over the cell to which you would like to assign your assignee, select the 'Add Assignment'

  3. After adding your assignment, click 'Save Assignment' to save all the changes you have made.

Adding assignments to multiple columns at the same time

  1. You can select multiple columns as shows below to add the assignee to multiple columns seamlessly.

Method 3: Using the 'Upload Excel File' function using Excel

Excel App

  1. To use this feature, navigate over to 'More' and select 'Download template for (Month) 2024' from the dropdown menu.

  • You will need to download a template which should open in excel before you can start assigning doctors to it

  1. Once the download link has been prepared for you. Click on the download link to download it on your device.

  1. Modify the excel according to your requirements and add the assignees. Open the downloaded Excel template. Proceed with the following steps:

  • This template should be the same as the one you have created on the Rooster application

  • Fill in the required information

  • Save the populated Excel file on your computer.

  1. Return to the Rooster application and click on the 'Upload Excel File' button

  • Select the populated Excel file from your computer and upload it.

  • The system will process the file and update the roster accordingly.

Microsoft 365 Online

  1. Download roster template using "Download/Upload Template" from Rooster. There will be a pop up modal to allow you to Download the template

  1. Save the copy of the template onto One Drive

  1. Open new tab to access Microsoft 365 Online on your browser via this link and open the downloaded template: https://www.microsoft365.com/mycontent

  1. To edit assignments, type the employee's name into the excel row and click Enter to select

  1. Once the assignments are completed, save a copy of the populated excel by navigating to File > Download a Copy

  1. Return to Rooster and click on "Choose fie" under Step 2: Upload Excel Template to select the completed excel file

How do I edit assignments in my roster?

Editing the assignees for On-call rosters

  1. Select 'Edit Roster' to go into the editing mode. Then, select the cross next to the assignee to remove them from the roster

  1. Re-add the assignees using either of the methods mentioned above.

On-Call rosters allow you to schedule your doctors according to the dates for the calendar month whereas a team roster allows you to schedule your doctors according to teams or groups, typically based on specialties or departments.

Editing the assignees for team rosters

  1. Select 'Edit Roster' to go into the editing mode. Then, click onto the assignee who you would like to edit.

  1. Once the 'Edit Assignment' popup appears, edit the required fields accordingly. Here you can modify the dates assigned to the doctor.

  • You can toggle between Exact Dates and Date Range depending on your requirement.

I can't find the individual I want to add to my roster. What do I do?
